SPECIAL EVENTS COORDINATOR

SUMMARY:

The Special Events Coordinator is responsible for coordinating special event programs on campus. This position is governed by state and federal laws and institution policy.

TYPICAL FUNCTIONS:

Coordinates use of campus facilities and equipment for special events by determining activity needs and developing custodial and maintenance schedules.

Provides technical assistance to program sponsors, greets and directs visitors to campus, and resolves problems and complaints.

Prepares reports of events, building, and equipment usage, maintains financial records, and purchases supplies and equipment, as needed.

Compiles budget information for work unit, assists in event planning, and recommends policies and procedures concerning activities and special events.

Advises campus organizations concerning availability of speakers and performers, develops correspondence and promotional materials, and coordinates security needs for events.

Operates audiovisual and video equipment, for events and activities, as necessary.

Performs other duties as assigned.

KNOWLEDGE, ABILITIES, AND SKILLS:

Knowledge of special event programs available for college campuses. Knowledge of facility and equipment requirements for special events. Ability to plan and coordinate special events for college campuses. Ability to maintain files and records associated with special event activities. Ability to operate audiovisual and video equipment.

MINIMUM EDUCATION AND/OR EXPERIENCE:

The formal education equivalent of a high school diploma; plus two years of experience coordinating special events, promotions or a related area, including one year in a leadership capacity.

Additional requirements determined by the institution for recruiting purposes require review and approval by the Arkansas Division of Higher Education.

OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
